An asset collection inspection form is a specially-crafted inspection form that can be used by Opqo as part of its Asset Collection work process.

This work process allows Technicians to collect asset data which can then be reviewed by Managers and used to update existing asset records, or create new asset records in Maximo.

This functionality is enabled via naming conventions on Inspection Forms, Questions and Fields.  These naming conventions allow Opqo to identify the Asset attributes and specifications to update with the collected data.  This also means that asset data fields can be mixed in with regular non-asset inspection fields for cases where data verification/audit is desired.

Additionally, identifying work orders as asset collection work orders allows Opqo users to create and complete new Asset Collection inspections in the field, supporting an Asset discovery work process.

Inspection Form Setup

Asset collection inspection forms are identified by a prefix on the form name:

• A prefix of STAC: identifies the form as an asset collection form.
• A prefix of the form STAC:<CLASSIFICATIONID>: identifies a form that can be used to collect data for new assets, that will have the specified classification applied to them.
• The remainder of the form name after the prefix is displayed to the user.

Some examples:

• STAC: Asset Collection - This identifies an asset collection form with a display name "Asset Collection".  Any new asset records created using this form will have no classification applied.
• STAC:CNTRFGL: Pump Asset Collection - This identifies an asset collection form with a display name "Pump Asset Collection".  Any new asset records created using this form will have the CNTRFGL classification applied to them.

Inspection Form Actions

Opqo uses Maximo's Inspection Form actions to provide review actions to Managers.  Opqo installs the following automation scripts, and registers them for use on Inspection Forms:

• STACNEW - Taking this action creates a new asset record from the data collected in the inspection.
• STACAPPLY - Taking this action applied the data collected in the inspection to the asset associated with the inspection.  This action is not available if the inspection does not have an associated asset.
• STACREJECT - Taking this action rejects the inspection by creating a new work order and inspection to be sent back to the technician.  
• STACDISCARD - Taking this action marks the inspection as discarded.  No asset is created or updated, and the data remains in the inspection for viewing.

Add the desired actions to the asset collection form to make them available to Managers during review.

Identifying Asset Data Fields

Asset collection data fields are identified by a prefix on the field description.

• A prefix of STAC:A:<ATTRIBUTE NAME>: identifies the field as a field to be applied to the attribute directly on the asset
• A prefix of STAC:S:<ATTRIBUTE NAME>: identifies the field as a field to be applied to a specification attribute on the asset.

Some examples:

• STAC:A:SERIALNUM: Serial Number - This identifies a field that will be displayed to the user as "Serial Number", that will be applied to the SERIALNUM attribute on the Asset record.
• STAC:S:STAGE: Stage - This identifies a field that will be displayed to the user as "Stage", that will be applied to the Asset specification attribute "STAGE".

Specification attributes can be added that are not part of the classification.  If values are provided, these will be added to the asset as additional specification attributes.

Identifying Asset Data File Upload Fields

Currently, Maximo does not allow descriptions to be specified on file upload fields.  To identify a file upload field as an asset collection data field, set the following prefix on the Question description that the file upload field belong to:

• STAC:A:

Attachments added to this file upload field will be added to the Asset record as attached documents.
